Disposal of waste and recycling thereof for the buildings of the EPO in Munich

  1. Awarding authority:

    The European Patent Organisation (EPO) acting through the European Patent Office: Headquarters, Bob-van-Benthem-Platz 1, D-80469 Munich, Postal address: EPO, D-80298 Munich.

    The European Patent Organisation is an intergovernmental organisation set up pursuant to the European Patent Convention which entered into force in 1977.   3. Description of the contract:

    1. Purpose of the contract:

      Disposal of waste and recycling thereof for the buildings of the EPO in Munich.

      Services for disposal of waste:
      - Recycling of paper, files and cardboard packaging
      - to destroy files according to norm DIN66399
      - Recycling of mixed municipal waste
      - Waste for material recycling (glas, metals (cans), metals (cables), plastics, plastic films, styrofoam, light plastics)
      - garden waste, crushed stones, wood,...
      - bulky waste, electronic scrap
      - to provide skips, containers and other bins as well as data protection containers
      - other disposal of waste (for example neon tubes, insulating material, data medium, tire etc.)

      Within a period of 30 days following the receipt of the advanced invoice or final invoice in the correct form and due date.

    5. Qualifications required by law:

      The required supporting documents for the services for the disposal of waste have to be submitted.

    2. Duration of contract or time limit for delivery or completion of services/work:

      The contract starts on the 1st July 2014 and has a basic fixed term of 12 months. After expenditure of the basic fixed term the contract will be automatically extended for a further year, if the contract is not cancelled in writing 3 months before the expiry date of the contract. The duration of the contract is maximum 5 years. The contract ends at the latest on the 30th June 2019 and no cancellation is needed.

      Please submit bids only with an inner and outer sealed envelope and send it by post or courier service and not by fax or E-Mail. Bids submitted by fax or E-Mail will be excluded.

      The Procurement Documents will be available in German only.

  7. Legal form of the grouping in the event of a joint bid:

    If several bidders submit a joint bid, a main contractor has to be announced to act on behalf of all members. The main contractor shall be liable to the contract and its contractual obligations.

  8. Criteria for assessing bidders' know-how, capacity and reliability to fulfil the contract:

    Please provide us with your bid all customer and bank references as requested in Annex 1 to the General Conditions of Tender and any additional questionnaire(s) included in the Procurement Documents.

  9. Period during which the bidder is bound by his bid:

    Six months following the final date for receipt of bids indicated in point 6(d).

  10. Criteria for the award of contract:

    1. Selection Criteria
      Presentation of all certificates needed for the tendered services of the disposal of waste
      Participation of a site survey
      All subcontractors participating have to fill out “Form D” part of the General Conditions of Contract and enclose it to the offer

  11. Other information:

    Contract award is expected to take place in May 2014.
    On 25 March and 26 March 2014 the site surveys for all potential bidders take place at the European Patent Office in Munich. For this site visit you have to calculate 2,5 hours time. The exact dates (hour, location, etc.) will be provided at a later time. Please note that a site survey is mandatory. Please do not forget to ask in writing for a date for the site survey after your request for the tender documents and if you still are interested to submit an offer.

    The price sheets of your offer have additionally to be provided with your bid/offer on an electronic data storage medium (no PDF-format).
