Purchase and delivery of storage units and visitors tables

  1. Awarding authority:

    European Patent Organisation (EPO), through the European Patent Office: headquarters, Erhardtstrasse 27, D-80469 Munich; postal address: European Patent Office, D-80298 Munich.
    The European Patent Organisation is an intergovernmental organisation set up pursuant to the European Patent Convention which entered into force in 1977. It now has 32 member states (Austria, Belgium, Bulgaria, Cyprus, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Iceland, Ireland, Italy, Latvia, Liechtenstein, Lithuania, Luxembourg, Malta, Monaco, Netherlands, Poland, Portugal, Romania, Slovakia, Slovenia, Spain, Sweden, Switzerland, Turkey and United Kingdom). The executive body of the EPO is the European Patent Office, which is charged with the searching and examination of European patent applications and the granting of European patents. It employs approximately 6 700 staff at EPO headquarters in Munich, a branch at The Hague/Rijswijk (NL) and sub-offices in Berlin and Vienna (the number of member states and staff members is subject to change).

  3. Description of the contract:

    1. Purpose:

      Purchase and delivery of 1 800 storage units (file cabinets) and 900 visitors tables (+/- 30%)
    2. Division into lots:

      • Lot I about 1 800 storage units (file cabinets)
      • Lot II about 900 visitors tables

      The lots may be awarded together or separately.

    3. Deposits and guarantees required:

      Not applicable

    4. Main terms concerning payment:

      Within 30 days after delivery and receipt of an invoice in the correct form

    5. Qualifications required by law:

      Not applicable

  4. Place and period of performance:

    1. Place:

      One of the four (in future, five) EPO buildings in Munich

    2. Period:

      The items must be delivered within four to eight weeks after the order during the years 2008 to 2012; individual orders must comprise at least 30 items.

      19 September 2007, 12.00 hrs (CET)
      Two copies, in addition to the original bid to be marked as such
      Bids must be submitted by letter, not by fax or e mail.

    5. Address to which requests for clarification and bids must be sent:

      Bids submitted by fax or e-mail will be excluded.

    6. Language or languages in which requests for clarification and bids must be drawn up:

      German
      The Procurement Documents are available only in German.

  6. Legal form of consortium in the event of a joint bid:

    If several bidders submit a joint bid, one must be designated as prime contractor responsible for performance of all obligations under the contract.

    Six months as from final date for submitting bids as per point 5(d) above.

    Contract award is expected to take place in the fourth quarter of 2007.
    Shortlisted bidders must be willing and able to provide samples of the furniture offered. This they must do free of charge for eight weeks, and within two weeks of the awarding authority's request for samples.
